Which checkpoints take an entry from review to reporting?
| Checkpoint | Your input | What we prepare |
|---|---|---|
| Rules review | Contest page, rules, entry and deadline | A clear go, revise or decline recommendation |
| Plan | Goals, audience context and constraints | Channel choices, projected reach and written scope |
| Creative | Approved facts, images and permissions | Draft ads, messages and calls to action |
| Launch | Account access and final approval | Campaign setup and a launch check |
| Reporting | Questions or changes from your side | Run Log updates and a final Readout |
This order prevents avoidable rework: we do not develop promotion around an entry until we know what the organizer permits. The contest rules and risk review can clarify a difficult clause before channels or creative are chosen. We record decisions as they are made, so you can see why a recommendation changed and what input is still needed. The campaign schedule follows the contest deadline, the time needed for approvals and the assets already available. You remain the decision-maker on the entry and approve the work that represents it.
What should be settled before choosing channels?
Start with the contest conditions, not an ad format. We use a Launch Spec to capture the facts that determine whether and how promotion can proceed.
- Share the official rules and the entry or voting page.
- Confirm who can participate and how a supporter completes a vote.
- Note the voting close, time zone and any organizer instructions about outside promotion.
- Tell us which locations and audience groups are relevant, and what assets you can use.
- Flag any approval steps, account access limits or changes already announced by the organizer.
The plan then connects the entry to suitable channels and a clear message. Paid advertising, creator outreach and consent-based community or email messages have different setup needs; we select only formats that fit the rules and the people you can reach. See paid promotion for contest entries and community, email and messenger outreach for channel-specific options.
We send the proposed scope and projection for review before launch. A projection is an estimate, not a promise of votes or standing in the contest. The written quote is confirmed before work starts; advertising spend is paid to the platform separately from our fee.
How do creative approval and launch work in practice?
| Before launch | Check |
|---|---|
| Copy | Entry name, category and action match the official contest page |
| Assets | You have permission to use each image, clip and music track |
| Voting path | The message describes the steps supporters will actually see |
| Approval | You have reviewed the final version and confirmed it can run |
We prepare copy and creative from the materials you provide, then send them for approval. Our contest creative and copy work can cover the message and assets when you want production support. Keep the entry link and instructions consistent across formats; if voting requires an email confirmation or another step, say so before asking people to participate.
At setup, we check destination links, campaign settings and the approved versions. The first launch check confirms that the ads or outreach are presented as agreed and that the destination opens correctly. If a platform rejects an ad or the organizer updates the rules, we explain the issue and propose the next permitted action. Nothing goes live under a new creative direction without your approval.
What does the campaign record show, and where are the limits?
The Run Log records the work as it happens; the Readout closes the loop at the end. Use them to check delivery against the approved scope, not to infer a contest result from advertising activity.
- The log notes active channels, creative changes, key decisions and outstanding approvals.
- Updates use information visible in the relevant platform reporting tools.
- The final Readout summarizes what ran, what changed and what to carry into a future campaign.
- Where a visit cannot be connected to a recorded vote, the report marks that gap rather than treating clicks as votes.
We use white-hat methods in line with platform rules and contest rules; we do not sell votes, followers or engagement, and we do not use bots, scripts, fake accounts or click farms. We cannot promise a win, vote total or contest placement: the organizer controls the rules and judging, while platform review, delivery and ad rotation remain outside our control.
If the organizer prohibits outside promotion, we stop at the rules review and explain why the work cannot proceed. For an initial assessment, send the contest link, official rules, your entry link and deadline to the free contest analysis; we will review them and return the next practical step.
Frequently asked questions
What should I send before the first review?
Send the official contest rules, the contest page, your entry link and the voting deadline with its time zone. If you have them, include the assets you may use and any messages from the organizer about promotion.
Can promotion start before I approve the creative?
No. We prepare the proposed ads or messages and wait for your approval before they go live. This gives you a chance to check the entry details, wording, permissions and voting instructions.
What if the contest rules change after launch?
We review the updated wording before continuing affected activity. If it changes what promotion is allowed, we pause that work, explain the impact and agree on a revised plan or stop.
Can you tell me how many votes the campaign will bring?
No. We can provide a projection for planned campaign activity and report what platform analytics show, but votes and contest placement are not under our control. We do not promise a vote count or a win.
