Consent-based outreach for contest entries across email and groups

Reach people through opt-in email, communities and messenger groups that welcome the request. We check permissions first, adapt the message to each channel and record the work.

In shortContest outreach uses opt-in email, welcoming communities and messenger groups to introduce an entry to people who have chosen to hear from you. AEOTech checks permissions and group rules, prepares channel-specific messages, coordinates approved posts and reports activity. The schedule is set against your contest deadline; scope and fee are confirmed before work begins.
  • White-hat methods
  • No bots, no purchased votes
  • Free contest analysis first
  • Quote confirmed before work starts

Which sources qualify for contest outreach?

Source Use it when Check before work
Your email list Subscribers opted in to relevant updates How and why they signed up
A community you take part in The request fits its purpose Written rules and moderator approval
A newsletter or group owner They agree to share the entry Placement terms and the exact post

Outreach is suitable when you can explain why each audience may receive the request. Send us a source inventory: who owns each list or group, how people joined, who can approve a post, and any restrictions you already know.

We exclude purchased, rented or scraped contact lists, unsolicited bulk messages and groups where promotion is unwelcome. We do not sell votes, followers or engagement, and we do not use bots, scripts, fake accounts or click farms. If a source cannot pass the consent and rules check, it stays out of the plan.

For a wider view of contest promotion options, start with contest marketing. If you are unsure whether a particular mechanic fits the contest rules, include it for a rules and risk check.

How should the message fit each channel?

Channel Message shape Useful preparation
Email Short personal note with one clear request Sender name, opt-in context, unsubscribe route
Messenger group Brief post that reads naturally in the conversation Admin approval, permitted thread and timing
Newsletter placement Compact introduction for the publisher to review Audience description, agreed wording and link

A message should make the next action clear without hiding the contest steps. If the entry requires registration, a confirmation email or a daily limit, state that before the reader clicks. That reduces confusion and helps people decide whether they want to take part.

We draft from your voice and the audience’s context. Email can carry a little more background; a group post should get to the point and respect the community’s format. We do not copy one pitch across every channel. The vote-request templates can help your team keep its own follow-up consistent.

Before approval, check the entry link on a phone, confirm the deadline and verify that the voting instructions match the contest page. We can also coordinate outreach with contest creative and copy so the message and destination tell the same story.

What happens before a message goes out?

Each source moves through a permission check, a message review and a scheduled send or post. The Launch Spec records the entry, deadline, audience, approved channels and the rules that govern each placement.

  1. Source review: you identify list ownership, sign-up context and group contacts.
  2. Permission check: we inspect the stated rules and request approval where needed. No approval means no post.
  3. Copy review: we prepare the channel version, link and voting instructions for your sign-off.
  4. Schedule: we place approved messages around the contest deadline, leaving room for replies and necessary corrections.
  5. Closeout: we stop outreach when the contest ends and prepare the activity summary.

You approve the final wording and destination before it is used. For community posts, we follow the location and timing named by the moderator rather than repeatedly reposting. For email, you provide the sending account or approved tool and confirm that the audience is eligible to receive the message.

Use the campaign calendar to compare possible schedules. The calendar is a planning aid, not a promise that every source will accept a placement.

What will the outreach work and report include?

The deliverables are a checked source plan, approved messages, a schedule and a Run Log of outreach activity. You can review each source and see what was requested, approved, sent or posted.

Deliverable What it records
Channel Matrix Source, audience context, permission status and proposed format
Message set Approved copy, destination link and channel-specific instructions
Run Log Date, source, approval status and any follow-up needed
Readout Visits visible through tagged links or available platform analytics, plus replies and open questions

Tagged links help separate traffic by source when the destination and analytics setup support that view. They do not identify every person who saw a message. The report distinguishes recorded activity from estimates and notes when a source does not provide a useful measurement.

Your team supplies the contest rules, entry page, deadline, contact details for list or group owners, and any existing consent records you can share. We confirm the scope and written quote before work starts. Any paid newsletter or community placement is identified separately and agreed in advance; ad spend, if used as a separate channel, is paid to the platform rather than included in the agency fee. See paid contest promotion for that option.

Where does outreach stop if a source or contest raises a concern?

Outreach proceeds only when the contest permits outside promotion and the audience or group has a valid reason to receive the request. We use white-hat methods in line with platform rules and contest rules; we will not help bypass voting protections or contact people who have not opted in.

A group moderator may refuse a post, an email provider may not deliver a message, and recipients may choose not to respond; those decisions sit outside our control. We commit to the agreed checks, messages, permitted placements and reporting, not to a win, a vote count or a contest ranking.

Before kickoff, flag any rule about outside promotion, referral links, repeated requests or contact with young participants. If the contest involves minors, confirm the required parent or guardian consent and the relevant platform age and privacy rules. If the promotion method conflicts with the contest rules, we stop and recommend a compliant alternative rather than trying to work around the restriction.

When community access is limited, creator outreach may be a better fit; compare it with influencer and creator outreach. For a contest-specific review of the entry and proposed promotion, use contest rules and risk consulting.

What should you prepare for a useful outreach plan?

A useful plan starts with the contest rules, the entry link and a source list that shows where you already have permission to communicate. The more clearly you separate owned audiences from groups that need approval, the faster we can identify workable channels.

Send these details

  • Contest page, entry page and closing date.
  • The voting steps supporters will encounter, including any confirmation or account requirement.
  • Email lists, communities, messenger groups or newsletters you want assessed.
  • How people joined each list, and the name or contact route for each group owner.
  • Any wording, link or timing restrictions stated by the contest or community.

We review the materials before recommending a channel mix. If your audience is small or the available groups do not accept contest posts, we will say so plainly and can compare outreach with paid promotion of contest entries or other suitable support. If you are entering a Web3 contest, include the voting page and its exact participation steps; see crypto, NFT and Web3 contests for the broader context.

Send these materials through the free contest analysis. We will check the rules and sources, identify the outreach that can proceed, and return a written scope and quote before any work begins.

  4. Schedule permitted outreachWe coordinate the approved sends and posts against the contest deadline, following each owner’s stated conditions.
  5. Receive the activity ReadoutThe Run Log and Readout show placements, responses and measurable visits by source, with measurement limits noted.

Frequently asked questions

Can you contact a community if I am already a member?

Membership alone is not permission to promote. We check the community rules and ask its moderator when approval is needed. If the rules prohibit contest requests or the moderator declines, we leave that source out.

What if my email subscribers signed up for a different kind of update?

We review the sign-up context before recommending a send. If the contest request falls outside what people agreed to receive, we do not use that list for it. Share the sign-up wording and any relevant audience restrictions during source review.

Can you write separate versions for email and Telegram?

Yes. We adapt the length, opening and call to action to each approved channel, then send the drafts to you for sign-off. For Telegram, the group or channel owner’s rules and approval determine whether and where a post can appear.

How is the service fee determined?

The quote reflects the number and type of sources to assess, the permission work, message preparation, scheduling and reporting. Any external placement charge is separated and agreed with you before it is incurred. We confirm the written scope and quote before starting.

Can outreach promise a certain number of votes?

No. We can deliver the agreed permitted outreach and report available activity, but supporters decide for themselves whether to vote. We do not promise a win, vote total or ranking, and we do not sell votes or use methods that bypass contest rules.

What if the contest requires registration or email confirmation?

Give us the voting instructions before copy approval. We will explain the steps plainly in the message so supporters know what the contest page asks them to do. We do not assist anyone in avoiding a registration or verification requirement.
